Administrator Quick Start<\/h1>\n

This section gives the SWPRO administrator a brief orientation to the portfolio system and the main responsibilities involved in maintaining it. Detailed instructions for creating new student portfolios are provided in the next section, Creating Student Portfolios<\/strong>.<\/p>\n

Administrator Role<\/h2>\n

The main SWPRO administrator is the School of Social Work office manager<\/strong>. The office manager handles the regular maintenance of the student portfolio system, including creating new portfolio sites, helping students with access issues, maintaining portfolio links, and supporting professors when they need help locating student portfolios.<\/p>\n

The administrator\u2019s role is primarily technical and organizational<\/strong>. The administrator is not responsible for evaluating the quality of student portfolio content.<\/p>\n

Professor Role<\/h2>\n

Professors are responsible for the educational side<\/strong> of the portfolio process. They guide students in developing portfolio content, selecting appropriate materials, writing reflections, connecting portfolio work to course or program expectations, and preparing the portfolio for review or presentation.<\/p>\n

Professors may provide basic portfolio guidance at the beginning of the semester, but technical issues should be directed to the office manager.<\/p>\n

Technical Support<\/h2>\n

SWPRO is hosted by Lucian Mihailescu through Intercer<\/strong>. The School of Social Work has a yearly hosting contract with Intercer, and additional technical support is paid hourly as needed.<\/p>\n

Lucian\/Intercer should be contacted for issues beyond routine maintenance, such as hosting problems, network-level errors, major plugin or theme conflicts, security concerns, backup\/restoration needs, or problems affecting multiple portfolio sites.<\/p>\n

Basic Platform Overview<\/h2>\n

SWPRO is built in WordPress Multisite<\/strong>.<\/p>\n

This means:<\/p>\n

  • SWPRO is the main portfolio hub.<\/li>\n
  • Each student portfolio is a separate WordPress site within the network.<\/li>\n
  • The office manager has network administrative access.<\/li>\n
  • Students receive access to their own portfolio sites.<\/li>\n
  • Student portfolios are password protected.<\/li>\n
  • Professors guide portfolio content but do not manage the technical setup.<\/li>\n<\/ul>\n

    Because each portfolio is a separate site, the administrator usually works either at the network level<\/strong> or inside an individual student portfolio dashboard<\/strong>.<\/p>\n

    Where to Find Key Areas<\/h2>\n

    Most administrator work happens in two places.<\/p>\n

    Network Admin<\/h3>\n

    Use My Sites \u2192 Network Admin<\/strong> for system-level tasks, such as reviewing sites, managing users, checking themes and plugins, and creating new portfolio sites.<\/p>\n

        Routine Administrator Tasks<\/h2>\n

        The most common administrator tasks include:<\/p>\n

        • Giving students access to their portfolio sites<\/li>\n
        • Helping students with forgotten passwords or login problems<\/li>\n
        • Checking user permissions when students cannot edit their portfolios<\/li>\n
        • Updating the alphabetical list of portfolio links<\/li>\n
        • Helping professors locate student portfolios<\/li>\n
        • Troubleshooting basic media upload issues<\/li>\n
        • Updating plugins and themes carefully<\/li>\n
        • Contacting Lucian\/Intercer when larger technical problems occur<\/li>\n<\/ul>\n

          Student Access and Visibility<\/h2>\n

          Students receive login information for their own portfolio sites and are responsible for adding and maintaining their content.<\/p>\n

          Student portfolios are password protected<\/strong>. Students may share their portfolio password with professors, field instructors, potential employers, or others they choose.<\/p>\n

          Students should upload only appropriate file types, usually PDF files<\/strong> and JPG images<\/strong>, and should avoid unnecessarily large files because storage is limited.<\/p>\n

          First Things to Check When Taking Over SWPRO<\/h2>\n

          When a new administrator takes over SWPRO, the first priority is to become familiar with the existing system.<\/p>\n
