Student portfolios are created as separate sites within the SWPRO WordPress Multisite network. Each student receives access to their own portfolio and is responsible for developing the content over the course of the program.<\/p>\n
New portfolios are usually created at the beginning of the school year or semester, based on the list of students provided by professors.<\/p>\n
Before creating new portfolios, make sure you have:<\/p>\n
www.swpro.org\/portfolios<\/code><\/li>\n- The standard email message sent to students after setup<\/li>\n<\/ul>\n
Use the official list provided by the professor or program representative. Do not create portfolios from memory or informal lists.<\/p>\n
Required Student Information<\/h2>\n
For each student, you need the student\u2019s full name<\/strong> and Southern email address<\/strong>.<\/p>\nThe first part of the Southern email address is used for both the portfolio URL and the login username.<\/p>\n
Example:<\/p>\n
\n- Student name: Corneliu Rusu<\/strong><\/li>\n
- Southern email: crusu@southern.edu<\/a><\/strong><\/li>\n
- Portfolio address: www.swpro.org\/crusu<\/a><\/strong><\/li>\n
- Username: crusu<\/strong><\/li>\n
- Portfolio title: Corneliu Rusu<\/strong><\/li>\n<\/ul>\n
The portfolio address should always match the first part of the student\u2019s Southern email address.<\/p>\n
Create the Portfolio Site<\/h2>\n
Log in to SWPRO with administrator credentials.<\/p>\n
Go to:<\/p>\n
My Sites \u2192 Network Admin \u2192 Sites<\/strong><\/p>\nCreate a new site using:<\/p>\n
\n- Site address:<\/strong> first part of the student\u2019s Southern email address<\/li>\n
- Site title:<\/strong> student\u2019s full name<\/li>\n<\/ul>\n

Corneliu Rusu<\/code><\/li>\n<\/ul>\nAfter creating the site, confirm that it appears in the WordPress network site list.<\/p>\n
Set Up the Home Page and Theme<\/h2>\n
After creating the portfolio site, go to the new student portfolio dashboard:<\/p>\n
My Sites \u2192 [Student Portfolio Site] \u2192 Dashboard<\/strong><\/p>\nThen complete these setup steps:<\/p>\n
\n- Go to Pages<\/strong>.<\/li>\n
- Open the existing Sample Page<\/strong>.<\/li>\n
- Rename the page Home<\/strong>.<\/li>\n
- Change the page address\/slug to home<\/strong>.<\/li>\n
- Go to Appearance \u2192 Themes<\/strong>.<\/li>\n
- Select a simple approved theme. The commonly used theme is Twenty Ten<\/strong>.<\/li>\n
- Go to Theme Settings<\/strong> or Customize<\/strong>, depending on the WordPress options available.<\/li>\n
- Change the front page setting from blog posts to a static page<\/strong>.<\/li>\n
- Select Home<\/strong> as the static front page.<\/li>\n<\/ol>\n
This makes sure the student portfolio opens on a regular homepage instead of showing blog posts.<\/p>\n
Apply the Portfolio Template<\/h2>\n
SWPRO uses approved WordPress templates that have already been added to the system. Students may choose from these templates, but they should not upload new templates.<\/p>\n
After creating the site, confirm that the approved templates are available for the student\u2019s portfolio.<\/p>\n
Do not install new templates for individual students unless the program has approved them.<\/p>\n
Assign Student Access<\/h2>\n
Add the student as the Administrator<\/strong> of their own portfolio site.<\/p>\nUse the first part of the student\u2019s Southern email address as the username.<\/p>\n

crusu<\/code><\/li>\n<\/ul>\nThe office manager creates the login password when setting up the portfolio. Students do not change passwords on their own. If they forget their password or cannot log in, they should contact the office manager.<\/p>\n
Confirm that:<\/p>\n
\n- The student is added to the correct portfolio site<\/li>\n
- The username is correct<\/li>\n
- The student role is set to Administrator<\/strong><\/li>\n
- The student\u2019s Southern email is connected to the account<\/li>\n<\/ul>\n
Set Visibility and Privacy<\/h2>\n
Student portfolios are password protected.<\/p>\n
SWPRO uses a WordPress feature or plugin that protects the entire portfolio site with a viewing password. This is separate from the student\u2019s login password.<\/p>\n
\n- Login password:<\/strong> allows the student to edit the portfolio<\/li>\n
- Viewing password:<\/strong> allows professors or others to view the portfolio<\/li>\n<\/ul>\n
Students may share the viewing password with professors, field instructors, potential employers, or others they choose.<\/p>\n
Before finishing setup, confirm that the portfolio is not openly visible without the viewing password.<\/p>\n
Add the Portfolio to the Alphabetical List<\/h2>\n
After creating the portfolio, add the student\u2019s name and portfolio link to the alphabetical list at:<\/p>\n
www.swpro.org\/portfolios<\/code><\/p>\nThe list is organized by family name.<\/p>\n
For example:<\/p>\n
\n- Last name: Rusu<\/strong><\/li>\n
- Add to:
www.swpro.org\/portfolios\/r<\/code><\/li>\n<\/ul>\nMake sure the student\u2019s name is spelled correctly and the link opens the correct portfolio.<\/p>\n
This list is important because professors often use it to locate student portfolios.<\/p>\n
Test the Portfolio<\/h2>\n
Before emailing the student, test the setup.<\/p>\n
Check that:<\/p>\n
\n- The portfolio URL opens correctly<\/li>\n
- The Home<\/strong> page opens as the front page<\/li>\n
- The selected theme is active<\/li>\n
- The site title shows the student\u2019s full name<\/li>\n
- The portfolio requires the viewing password<\/li>\n
- The viewing password works<\/li>\n
- The student username is correct<\/li>\n
- The student has Administrator access<\/li>\n
- The approved templates are available<\/li>\n
- The portfolio is listed on the correct alphabetical page<\/li>\n
- The alphabetical list link opens the correct portfolio<\/li>\n<\/ul>\n
Email the Student<\/h2>\n
After testing, email the student their portfolio information.<\/p>\n
Include:<\/p>\n
\n- Portfolio address<\/li>\n
- Login address<\/li>\n
- Username<\/li>\n
- Login password<\/li>\n
- Portfolio viewing password, if different<\/li>\n
- Link to the student tutorial page<\/li>\n
- Instructions to contact the office manager for technical problems<\/li>\n<\/ul>\n
